I have to say I wasnât too sure about the âMy Itemsâ idea but I think it is actually making a difference in my workflows and finding things.
Iâm a bit confused about the distinction between âPrivateâ space and the favourite items that sit outside it. I know âPrivateâ space views are not available to other workspace users and that the other items are the starred / favourite items across the entire workspace. But the distinction doesnât seem to have a purpose. Also, given that outside of âPrivateâ area you are not able to have any folders or structures, I think it just confuses the users.
In my mind âMy Itemsâ and âPrivateâ should be the same thing. The only issue are the âstaredâ items. I think every time you âstarâ an item it should create a âshortcutâ or âsymlinkâ to that view or entity in your the Private space, that you can move around and place where you need it. It would be great if you could also rename the shortcut and give it a different icon/colour.
Having the more generic shortcut item would allow you to also create left navigation bar shortcuts within all the spaces and avoid having to duplicate a view (and have to maintain them each) just so you have that view somewhere else.
The hidden gem this week for sure. I hope this is the start of rolling out similar one click expand/collapse functionality across all âmulti-levelâ hierarchies in Fibery since itâs been a very commonly requested feature for years!
Private items (docs/views) are exclusive to you personally.
It means you can write stuff that other people are not going to read (docs) or create data views which have configuration (dbs, filters, sorts, color coding) that you find useful, but may not be useful to anyone else.
The other things in My items are things that exist in the sidebar for every user in the workspace (depending on permissions of course) but which you find yourself often viewing/using, aka favourites.
If you make changes to these things, you will affect how other people see them.

I guess I question the need to have âFavouriteâ items as a whole separate thing which is why I was suggesting it would be great if you could just create shortcuts instead.
That would eliminate this distinction. It also allows the users to place the link where it makes sense in the left menu hierarchy (both in private and public areas). It also allows creators and users to have multiple shortcuts to the same view/entity rather than just one favourite. I think the ability to reference the same view in multiple places without duplicating it is the main advantage. Right now, I get around this by creating documents and putting entity mentions in them so you can move to a different view.
I hope that makes sense. I will try and do a mock-up of what Iâm thinking later today.
On the sidebar toggle front, my preference would be something like Workspace / My Space
âWorkspaceâ would be everything in the workspace that the user can access. I would hesitate to call it âAll itemsâ because I know the Fibery team is working on adding more flexibility to the sidebar to show Smart Folders or other things on the top level that might not naturally considered âitemsâ. âAll itemsâ just sounds both specific and unspecific at the same time and ultimately a bit awkward. I would also add a little eyeball icon next to the new collapse icon that would toggle the visibility of anything that was hidden by the user.
âMy Spaceâ would be broken down into 3 sub sections: âBookmarksâ (aka Favourites or Starred) which is fairly self explanatory and âPrivate Viewsâ which is where you can save your private views and âShared Viewsâ which are private views that youâve created and shared or others have shared with you.
At the moment, private views cannot be shared. They are visible/accessible only to the owner.
This might sound like a dumb question, but what do you mean by views that others have shared with you?
For example, I can âshareâ an item in a smart folder, which means granting someone else a specific level of access to that entity.
I can âshareâ an entity with someone by sending them the URL link to the itemâs entity view. The existing permissions rules will determine what they can see/can edit when they click on the URL.
In this case, the entity may or may not not exist as an item in the sidebar.
I can also âshareâ a data view (board, table, list, etc.) by sending someone the URL, but again, whether they actually can see it (or configure it) depends on the permissions.

Yeah, admittedly I donât use private views very much so Iâve never tried sharing them before. I do see now that if I give a link to them to someone, they get a âpage doesnât existâ error, so scratch my suggestion of the âShared Viewsâ subsection!
Related, is there also no way to convert a âPublicâ view like a whiteboard or doc into a private one? I know you can move things from a private space to a public space, but I canât seem to move them in the opposite direction.

It doesnât convert, but duplicates. But if you want, you can delete the original âpublicâ view
@mdubakov In your demo for Favorites â My Items it looks like your whiteboard has an embedded document in it??
Is that real or is that just a screenshot of a document? If real Iâd find this really exciting. Being able to see the contents of the document directly on the whiteboard would be great.
This is a real but very early experimental feature. I hope we will complete it this quarter.
Amazing. Can we add the ability to select multiple entities and share? Right now if we want to adopt this over using the âPersonâ based permission handling, we need to go to each entity 1-by-1 and update the share person/group.
