Setting up project management template for two departments

Hi all,

I’m setting up a project management template where two departments need access to the same project and task databases, but each department should only see their own items.

Current Setup:

  • Two separate spaces (one for each department)
  • Each space has views connected to the main project and task databases
  • Views are filtered to show only Department 1 or Department 2 items respectively

Problem: When I create a new project in a department’s table view, it immediately disappears because new projects aren’t initially assigned to any department. Since the view is filtered by department, unassigned items don’t show up.

Questions:

  1. Auto-assignment: Is there a way to automatically assign the correct department when I click “New Task” in a filtered table view?
  2. Space-level filtering: Can I apply department filtering at the space level instead of individual table views? This would eliminate the need to set up department filters for every single view I create.

Any suggestions would be greatly appreciated!

Hmm, items made within a view with filters should automatically receive field values according to the filters. Can you clarify which “New Task” button you are pressing? And maybe also share a screenshot of the filters you are using?

For space-level filtering, I don’t think there’s a way to do this (except maybe by using smart filters instead of space?)

thanks a lot for your quick reply. I was talking about a “new task” button in a table view. but I could actually just solve it. I created another database called department, and now I filter either a view or a smart folder by this department and once I create a new project within the smart folder or the table view it automatically applies the given department to the project.
