Add icon if entities are shared to web

We have several entities that are publicly shared for public documentation, but there is no easy way to see this in an overview like a smart folder (and it is easy to miss the Shared indicator in the right top of a page).

It would be great if these can have an icon behind them similar to public spaces:

Yes, it is great for our admins

I mean to suggest something more end-user oriented. So a way for actual users to easily be reminded that an entity is public without looking for the information.

Its for situations where a regular team member would edit a page, and needs to have a reminder that the page is public so they stick to a more professional formatting style, tone of voice, or type of content.

In these situations we can not really expect our team members to always look at the Shared section in the right top, nor can we expect them to go to the public sharing section.

When you said “no easy way to see this in an overview” I thought you meant a sharing overview, but I now realise you meant “see that an entity is shared when looking at that entity in an overview context, e.g. smart folder”, right?

If there was a formula function that returned true if an entity is shared, could that be useful? :thinking: Then you could potentially manually define the entity’s icon using a formula.

Ahh, yea, I meant in the natural documentation flow, so seeing it in the location where any regular team-member would look when editing the entities (like a smart folder indeed).

Right now we add a little Globe icon behind the entity name. Automating that with a Rule would be a good first step for sure.
It is probably cleaner to have it visualized similar to the public space, but the end-result would be pretty similar.
